Terms & conditions

Club Coders Ltd · Membership terms · Last updated October 2026. Plain English wherever possible.

1. Who these terms are between

These terms are between Club Coders Ltd, registered in England and Wales, company no. 17156327, registered office 128 Birmingham Road, Bromsgrove, England, B61 0DQ ("we", "us"), and the parent or carer ("you") who books sessions for a young person aged 13–17 ("your child"). By booking a taster or membership you confirm you have parental responsibility for your child and agree to these terms, our privacy policy and our safeguarding policy.

2. Free taster sessions

Taster sessions are free, require no payment details and carry no obligation. Places are limited and allocated in booking order. If your child can't attend, please let us know so the place can go to someone else.

3. Membership and what's included

Club Membership includes one live 75-minute group session per week during term time (36 sessions over a school year) in a small group, an account in the Club Coders app with the learner's designs and brain code, AI requests run and reviewed by the teacher, a learner card at the end of each season, and termly tournaments and demo days. Studio+ adds a second weekly open-arena session. Session times are agreed at booking; we'll give at least two weeks' notice of any permanent change to your slot.

4. Payments

  • Membership is charged monthly in advance on your start date each month, by card, Apple Pay or Google Pay through Stripe, our payment provider. There is no joining fee and no minimum term.
  • Monthly fees cover the school year including holidays; you pay 12 equal payments for 36 term-time sessions.
  • Founding-member pricing is fixed for 12 months from your start date and applies while membership is continuous (pauses allowed under clause 6). Founding places are limited to 30 and close when filled or on 17 January 2027, whichever is first.
  • Reserving a founding place: you may reserve a place by paying the first month at or after your taster. That payment is fully refundable on request at any time before your child's first paid session.
  • Sibling discount: 10% off the monthly fee for second and subsequent siblings. Referral reward: £10 off your next monthly payment after a family you referred completes their second month; the referred family receives £10 off their first monthly payment.
  • We'll give at least 30 days' notice of any price change.
  • Holiday game-jam weeks are booked and paid for separately.
  • If a payment fails we'll let you know; if it remains unpaid after 14 days we may suspend sessions until it's resolved.

5. Cancelling

You can cancel at any time in your Stripe membership account or by emailing us. Cancellation takes effect at the end of the current paid month. No notice period, no cancellation fee. We don't give partial refunds for the remainder of a month already paid, except under clause 8.

6. Pausing

You may pause membership for up to two calendar months in any 12-month period at no charge, for example during exams. Tell us at least 7 days before your next payment date. Your child's place in their group is held during the pause.

7. Missed sessions and cancellations by us

  • If your child misses a session, with notice they may attend another group of the same level that week, subject to space. We don't refund missed sessions.
  • If we cancel a session (for example due to mentor illness or a technical failure on our side), we'll reschedule it or credit the next month's payment pro rata.
  • If a session fails because of problems at your end (internet, equipment), we'll do our best to help but can't offer a refund.

8. Money-back guarantee

If you reserve a founding place, the first month's payment is fully refundable on request at any time before your child's first paid session (clause 4). After that, membership is monthly rolling and cancellation follows clause 5.

9. Your responsibilities

  • Provide a Windows 10 or 11 laptop or PC able to run the Club Coders app, an internet connection, and a headset. Mac and Chromebook are not supported at present; we cannot refund sessions missed because of an unsupported device, but we will say so before you book if you tell us what you have.
  • Make sure a responsible adult is at home during sessions and that your child joins from a shared space where possible.
  • Tell us about any needs that affect how your child learns, so we can support them.
  • Keep session links private and don't share them with anyone outside your household.

10. Conduct

Our student code of conduct is in the safeguarding policy. If a student's behaviour is persistently disruptive or unsafe for others, we'll talk to you first. In serious or repeated cases we may end membership and refund any unused whole months.

11. Recordings

Sessions are recorded for safeguarding. By joining you consent to your child appearing in these recordings. Recordings are kept for 90 days and never published. We will not use any image or voice of your child in marketing without your separate written consent.

12. Your child's work

Everything your child creates in Club Coders sessions or with the Club Coders app, including robot and fighter designs, brain code, mods, arenas and game ideas, is owned by Club Coders Ltd. By agreeing to these terms you transfer to us, for yourself and on your child's behalf, all intellectual property rights in that work. Where a right can't be transferred, you give us a permanent, worldwide, royalty-free licence to use, change, publish and sell the work, and you agree on your child's behalf not to object to how we use it. Your child may keep a copy of their work and use it for personal, non-commercial purposes, such as a portfolio or a school project, and we will give you a copy on request.

The Club Coders app, the games, the lessons, starter code and teaching materials belong to Club Coders Ltd.

We may show your child's work at demo days (username only), and publish short clips or screenshots of it on our website and social media in a way that does not identify your child: no real name, username, face, voice or school. You can ask us not to publish your child's work, or to remove anything already published, at any time by emailing us. Anything that would identify your child needs your separate written consent.

13. Our liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything else that can't be limited by law. Otherwise, our liability to you is limited to the fees you've paid in the preceding 12 months. We're not responsible for loss or damage to your equipment or data arising from software you install, provided we have recommended reputable, standard tools.

14. Changes to these terms

We may update these terms; we'll email members at least 30 days before material changes take effect. If you don't agree, you can cancel under clause 5.

15. Law

These terms are governed by the law of England and Wales. Nothing in them affects your statutory rights as a consumer, including your right to cancel a distance contract within 14 days of signing up (you agree that sessions may begin within that period and that you'll pay for any sessions attended).
